Call for Partners
Administrative Support Services for an European Institution

Duration of the Project

The framework contract is planned for a total duration of 48 months (4 years), with an estimated implementation start in July 2026.

​

Scope of Work

The partnership involves providing high-quality support across 6 specific service areas:

  1. Organization of Meetings and Events: Preparation of agendas, invitations, catering coordination, and room bookings.

  2. Clerical Services: Drafting correspondence, minutes, reports, presentations, and calendar management.

  3. Document Management: Maintaining electronic and physical archives, registering documents, and managing validation workflows.

  4. Business Trip Arrangement: Booking travel and accommodation and processing reimbursement claims.

  5. Corporate Matters Support: Database maintenance, organizing team training, and scheduling meetings.

  6. Staff Matters Administration: Assisting personnel with entitlements and communicating with national or local authorities.

Key Requirements for Service Providers

  • Nationality: All proposed consultants must be EU nationals.

  • Language Proficiency: Very good communication skills in English (minimum B2 level) are mandatory for all roles.

  • Location of Performance: The primary site is Prague, Czech Republic, with potential requirements at other European sites in France, Spain, and the Netherlands.

Submission of Proposals
​If your entity is interested in participating as a subcontractor, please submit your offer by Friday, March 13, 2026, at 12:00 PM (noon), to: opportunity@consulting-port.com

Your proposal may follow a flexible format but must include the following:

  • Company Profile: Describing your relevant experience.

  • Rate Card: Specifying daily rates (Fixed Unit Prices).

  • Administrative Support Origin: Confirming the nationality of your resource pool.

  • Sample Profile: At least one example CV.

  • Operational Scope: Explicitly state if you can operate internationally at the various sites mentioned or if you focus only on the Czech (CZ) market.
